Automations and audit trail

What runs automatically, what each job may and may not do, and an audit trail from the changelog and git. This page is kept off the dashboard.

Automations and audit trail

Last Grain historical backfill (partial, Creative Queue first): Thu Nov 5, 2026, 2:12 PM America/New_York. publish.py added so this job can rebuild and upload site/_worker.js on its own.

Permanent URL: /automations/. Kept off the dashboard on purpose: this is what runs automatically and what already ran, not what a person should do next.

As of Thu Nov 5, 2026 (America/New_York). None of these automations send, post, DM, or spend.

Spark 8 AM meeting ingest

  • When: weekdays around 8:00 ET
  • Whose agent: Grok Bot, using the pipeline skill
  • What it does: pull new Grain recordings visible to the seated token, ingest in-scope transcripts into the matching pipeline, update plan pages, write open questions and a Slack digest file
  • What it may do: read Grain, write notes and questions into git, regenerate the public site
  • What it may not do: send or post; print secrets; invent facts; treat a missing Grain recording as ingested
  • Last run: Thu Nov 5, 2026 — Grain list pulled for Ittai's personal-scope token (the Nov 3 recording was not visible). The Nov 3 Ittai + Adrian call was ingested from the exported transcript the same day. A historical Grain backfill is still pending.

CQ daily prospect batch

  • When: weekdays around 8:30 ET
  • Whose agent: Grok Bot, using the pipeline skill
  • What it does: research contactable people (verified links only), write that day's archive, move people onto the master list once links check out, refresh numbers
  • What it may do: draft, research, log, update pages
  • What it may not do: send connection requests, notes, or DMs; guess URLs; contact anyone
  • Last run: Thu Nov 5, 2026 — 15 people added. Master list is 89 people across 57 brands/orgs.

CQ weekly warm restarts + scoreboard

  • When: Mondays around 9:00 ET
  • Whose agent: Grok Bot, using the pipeline skill
  • What it does: refresh the warm-restart list against current decisions and open questions, and update pipeline/scoreboard.md from recorded sends, replies, and calls
  • What it may do: update pages from what is already logged
  • What it may not do: send warm emails or DMs; invent replies or calls
  • Last run: not yet. The first scheduled Monday run would be Mon Nov 9, 2026 around 9:00 ET. The scoreboard was last edited on Thu Nov 5, 2026 (0 of 6 qualified buyer calls).

CQ Marketing Bot

  • When: only when tagged in Slack #cq-marketing (C054T5XSA3W)
  • Whose agent: Creative Queue Marketing Bot
  • What it does: answer questions in that channel when tagged
  • What it may do: read the thread it was tagged in and reply there
  • What it may not do: post unsolicited; the pipeline skill writes meetings/slack-questions.md but does not post it
  • Last run: digest file written Thu Nov 5, 2026; nothing was posted from the pipeline skill. Ittai posted the hub link in Slack himself.

Audit trail

Each pipeline run appends CHANGELOG.md. Git history is the full record. The public site copies recent changelog entries and recent git commits onto this page when it is regenerated.

Changelog

2026-11-05 (Thu) — Grain backfill (Creative Queue first) and unattended hub publish

  • Ingested Grain recordings visible to Ittai's personal token for Creative Queue, oldest first: Yuval prep and advisor calls (Jan 16 and 23), the Jan 16 product-launch-messaging debrief, Roles at CQ (Jan 30), the Feb 12 Voice Feedback / Manhattan prep, the Feb 13 Jorge conversation and internal next steps, the Feb 24 Jorge/Patrick debrief, and the Oct 29 pipeline review that set up the current LinkedIn people-finding motion.
  • Notes live in central meetings/ with products: tags and pointers in related-meetings_creative-queue.md. Marketing-relevant GTM notes are also under meetings/ in this folder so /meetings/ on the public hub lists them. Customer-call pricing detail stays in the central notes.
  • Proposed The Good Tracker folder at products/the-good-tracker/. Used-equipment recordings were fetched and are listed there as still to distill.
  • Added site/publish.py. The 8:00 AM ET Grain ingest loop and the ~8:30 AM ET prospect-batch loop run python3 products/creative-queue/marketing/site/publish.py to regenerate HTML and publish site/_worker.js. That exact command is documented in the pipeline skill.
  • Nothing was posted to Slack from this pass.

2026-11-05 (Thu) — dashboard and workstream rebuild

  • Rebuilt the public site as a native HTML dashboard in the Grok Page's visual style (clean sections, cards, tables, callouts; system sans on #FCFCFC / #141414). The hub is a short summary; each workstream has a permanent URL such as /linkedin/.
  • Markdown and pipeline/prospects.csv stay the source of truth. site/build_site.py regenerates the HTML on every run.
  • Added Page goals to the hub and to RULES.md, matching the structure Ittai and Adrian agreed.
  • Backfilled weekly LinkedIn queues: 2026-W44 (56 people, 41 companies, Oct 29 and Oct 30 batches) and 2026-W45 (33 people, 19 companies, Nov 2 and Nov 5 batches; current week as of Nov 5).
  • Marked five people requested dated Nov 5, 2026, from Adrian's verbal confirmation: Kris Cody (PAKA), Jen D'Angelo (NOOWORKS), Aimee Smale (Odd Muse), Emma Hill (Damson Madder), Shahira Ishak (American Tall). Mike Monnette (Abbreviated Apparel) was not named and stays not requested. Added open question 25 asking if any of the five is wrong and whether the other American Tall people were also requested.
  • Connection tracker: 5 requested, 0 accepted, 0 messaged. Documented how a monthly LinkedIn export at initiatives/linkedin/exports/YYYY-MM.csv is matched to mark people accepted.
  • Added rubrics/people.md and rubrics/companies.md. The pipeline skill loads them every run and logs rubric changes here.
  • Documented the generic hub-plus-workstream layout, the Monday 9:00 ET warm + scoreboard run, and Pages redeploy steps in the pipeline skill. Voice Align gets its own rubric files when its pipeline starts; no VA marketing tree was created in advance.
  • Nothing was posted to Slack from this pass.

What changed on each pipeline or planning run. The plan and task pages are edited in place; git history is the full record, and this file is the human-readable trail on the site.

2026-11-05 (Thu) — page-update rules

  • Wrote the page-update rules Ittai and Adrian agreed into RULES.md, the pipeline skill, and the hub (README.md).
  • When something from a meeting is unclear, pages are updated anyway and the item is marked UNCONFIRMED, with a numbered question. Either Ittai or Adrian can answer. Each answer clears the mark and adds a changelog entry.
  • The hub now has How pages get updated and Open questions to resolve: 24 numbered questions, each linked to its source (meeting and timestamp) and the item it affects, plus one copy-paste block for Grok chat.
  • Each run writes meetings/slack-questions.md, a digest ready for the Creative Queue Marketing Bot to post to Slack #cq-marketing (C054T5XSA3W). Nothing was posted from this pass.
  • Something only counts as a decision when it was clearly agreed in the call; otherwise it is a proposal. Pricing, offers, ads, and public claims stay proposals until Ittai approves. Newer meetings override older ones, but conflicts are flagged rather than silently overwritten.
  • Nov 3 items marked UNCONFIRMED (or proposal): Rachel and Alexandra Vasquez viability; mining Adrian's network and Claire Carter-Jenn; James Alley pronouns and who owns the thread; Codex sending LinkedIn DMs; 50–100/week pace; exact top-5 draft texts. Decision (Ittai agreed): KYODAN and Manhattan are not viable to restart; start with cold outreach.
  • Going forward, new people stay on that day's archive until their links check out, then move to the master list. Existing master-list rows were not removed.
  • Git history plus this changelog remain the version history.
  • Published the hub on a new Cloudflare Pages project creative-queue-marketing on Ittai's account (no other Pages projects there). Live public URL: https://creative-queue-marketing.pages.dev . It does not overwrite command-center, creativequeue.io, or The Good Tracker.

2026-11-05 (Thu) — daily batch + repo-native marketing pages + Nov 3 meeting ingest

  • Daily batch: 15 new people (13 qualified buyers, 2 build partners). Buyers: Sanctuary Clothing, Comfrt, Varley (Ben Mead), NYC Alliance (Wen Huang), The Hedgehog Company, Hype2wear, Vivid Brands / Roller Rabbit (Carolyn Phillips, Emily Swapp). Partners: Studio Neue Haus, Zeelum LA. Details: pipeline/daily/2026-11-05.md · pipeline/archive/2026-11-05.md.
  • Master list is now 89 people across 57 brands/orgs (73 qualified buyers: 59 single, 14 portfolio; 16 build partners). 82 have at least one verified link. Contacted: 0. Qualified buyer calls: 0 of 6.
  • Ingested the Tue Nov 3 Ittai + Adrian call (48 min). Notes: meetings/2026-11-03-ittai-adrian.md. Raw transcript: meetings/transcripts/2026-11-03-ittai-adrian.md. Open questions: meetings/open-questions.md.
  • Reorganized the Oct 30 prospect-pipeline/ commit (3194dd0) into pipeline/, outreach/, meetings/, and research/ rather than leaving a second copy. Added this changelog, RULES.md, and the reusable pipeline skill.

2026-11-03 (Tue) — Ittai + Adrian call (ingested 2026-11-05)

Meeting, not a prospect batch (the Nov 3 and Nov 4 daily runs produced no batch file). Process decisions from the call, carried into the README, rules, and outreach pages:

  • LinkedIn-first cold outreach is the place to start.
  • For each cold-outreach brand, list 3–4 people (not only the founder) with hyperlinked LinkedIn URLs and the company website.
  • Grok finds the URLs; do not log into Adrian's LinkedIn yet.
  • Weekly cadence and scoreboard in the plan: Adrian said it makes sense as a starting point.
  • Warm: KYODAN and Manhattan called not viable to restart (decision — Ittai agreed). Rachel and Alexandra Vasquez called not viable, mine Adrian's network, reconnect with Claire Carter-Jenn, and James Alley LinkedIn + WhatsApp are logged as proposals / UNCONFIRMED (see the page-update-rules entry above).
  • Reddit: rerun earlier work with Grok.
  • They planned to review Ittai's runs on Thursday Nov 5 at 12:00.

2026-11-02 (Mon) — daily batch

  • 18 new people (14 qualified buyers, 4 build partners at NYC/UK studios). Notable buyer fits named in the Nov 3 review draft: American Tall (including Shahira Ishak, Sr. Manager of Creative Operations), ThirdLove, Sweaty Betty (Talitha Moran), Joma Jewellery & Katie Loxton, Studio Nicholson, SNOCKS Group. Details: pipeline/daily/2026-11-02.md · pipeline/archive/2026-11-02.md.
  • Running total after this batch (per the Nov 3 review draft): 74 people across 51 brands.

2026-10-30 (Fri) — daily batch

  • 20 new people (17 buyers, 3 build partners at Hyperblack Studios, LA). Strongest new contacts named then: Jennifer Berk (Faherty) and Wyatt Hough (STAUD). Also STAUD, Djerf Avenue, Rouje, Missoma, Disturbia, NYC Alliance. Details: pipeline/daily/2026-10-30.md · pipeline/archive/2026-10-30.md.
  • First commit of pipeline files to the repo: 3194dd0 (still under prospect-pipeline/).

2026-10-29 (Thu) — first batch
